Office Administrator

We are seeking a highly motivated and detail-oriented Office Administrator to join our award winning team. They will play a vital role in ensuring the smooth operation of the business, taking on responsibilities for supporting and assisting the team in all office procedures and other ad hoc tasks. The role will be based in our main office in Lurgan.

The Role

The role of Office Administrator is fast paced and busy, and will include responsibilities for a variety of tasks, including:

Office Reception and Visitor Management

  • Greeting visitors on arrival to the office
  • Answering phone calls and monitoring emails 

General Administrative Support

  • Processing post
  • Carrying out general administrative tasks 
  • Assisting with the onboarding of new staff

Meeting and Event Coordination

  • Booking meetings and room arrangements
  • Ordering refreshments when required
  • Setting up meeting rooms for staff training

Office Supplies and Maintenance

  • Maintaining stock of office supplies (tuckshop, tea & coffee, milk, toiletries, etc.)
  • Managing the process for quotations, purchase, and delivery of office equipment and hardware
  • Maintaining the office asset register
  • Maintaining office key and fob register
  • Overseeing office maintenance
  • Maintaining a clean and tidy office environment

Travel and Accommodation Management

  • Booking staff travel and accommodation when required

Health, Safety, and Environmental Management

  • Managing the Health & Safety of all staff – in office and remote
  • Carrying out administrative duties for the Carbon Emissions/Environmental Standards
  • Monitoring and ensuring the efficient use of utilities such as electricity, water, and heating 
  • Implementing measures to reduce energy consumption and related costs
  • Overseeing contract management for cleaning, landlord and security
  • Managing waste disposal

Security and Compliance

  • Overseeing office security system
  • Contributing to work on our two ISO standards
  • Completing mandatory business surveys, as and when required
  • Other general ad-hoc duties, when required

You must have: 

  • At least 1 year of experience providing administrative/facilities/business support
  • Previous ‘front desk’ experience  
  • Excellent organisational and time-management skills 
  • Effective communication and interpersonal skills
  • Proficiency in MS Office or Google Workspace
  • Ability to manage multiple tasks and prioritise effectively
  • Ability to work alone or as part of a team

This is a permanent role (subject to satisfactory completion of probation) and hours are negotiable. Due to the nature of the work, the role will need to be office based, with hours from at least 9am to 3pm, Monday to Friday.
